Taco Bell’s Law Department in Irvine, CA is looking for an Administrative Assistant to join their team! This position will support the Director, Contracts & Corporate Compliance, the Franchise & Employment Counsel and their teams as they protect and add value to our dynamic brand!


The ideal candidate will be a high energy individual who is a culture champion. They will be self- directed and able to easily adapt to multiple and changing priorities. Responsibilities will include executive administrative work, such as maintaining and updating contract and other legal databases, coordinating daily meeting schedules and managing demanding calendars, travel coordination, as well as additional responsibility for meeting and offsite planning and editing and polishing executive presentations. The successful candidate also must possess strong analytical and office software skills.

Core Responsibilities:


1- Administrative/Organizational


  • Managing calendars, including the coordination of complex meeting and travel schedules, for multiple senior attorneys and staff
  • Coordinating travel itineraries, managing expense reports, and procuring supplies, services and equipment as needed
  • Maintain files, including electronic and confidential files
  • Attend staff meetings and other Legal-sponsored meetings. Understand background, roles, required preparation, attendees and purpose of all meetings
  • Maintain, update and improve contract and franchise logs/spreadsheets
  • Prepare database reports with a high degree of accuracy
  • Prepare email correspondence, Powerpoint and other presentations, and business letters
  • Generate standard form agreements
  • Responsible for general administrative functions as well as confidential department HR files, performance appraisals, and similar sensitive documents.
  • Partner with other department Administrative Assistants to:
    • Prepare and arrange monthly department meetings, birthdays, anniversaries, team events, new hire welcome and off-sites.
    • Manage workload and coordinate Management calendars.


2- Strategic



    - Act with a high degree of discretion and confidentiality
    - Assist in the development and execution of processes and procedures that will help the franchise and contract teams manage their workloads, including creation and maintenance of databases and other metrics tracking mechanisms
    - Interact with senior leadership at Taco Bell and its parent corporation, Yum, professionally, discreetly, and intelligently
    - Manage access to the senior attorneys professionally and discreetly based on need and other intangible factors
    - Recognize the urgency or lack of urgency of issues and communications, and prioritize and manage accordingly, with discretion, a high degree of autonomy, and a minimum of guidance



  • Must have administrative experience with at least 3 years supporting senior managers or Executives
  • Legal department experience preferred but not required
  • College degree highly preferred
  • Strong organizational and interpersonal skills
  • Ability to perform multiple tasks successfully, and exercise initiative and creativity, in a fast-paced environment, with very little supervision or guidance, while interacting with people in a manner consistent with our culture
  • Demonstrated ability to work on complex projects with ever-changing deadlines
  • Excellent oral and written communication skills
  • Adept at handling crisis, ambiguous, and confidential situations
  • Ability to anticipate needs and prioritize tasks
  • Strong working knowledge of Microsoft Office (Outlooks, Excel, PowerPoint, Word) and other relevant computer system applications
  • Must be able to work well with people inside and outside the organization including senior leadership
  • Be flexible regarding work schedule which may include being available for overtime
  • Flawless execution of administrative activities, with high attention to detail, organization and process
  • Collaborative team player capable of working with a variety of individuals and situations
